ArtMedDX Privacy Policy

ArtMedDX is operated by The ArtMedDx Team. This Privacy Policy explains how ArtMedDX collects, uses, discloses, and retains personal information when you use www.artmeddx.com, create an account, submit an application, communicate with us, or use ArtMedDX account features.

1. Scope

This Policy applies to the ArtMedDX website, account system, writeups, artwork database, exhibits, contributor applications, communications, and related interactive features.

ArtMedDX and ARTcade use a shared Clerk authentication identity. A Clerk account used to sign in to ArtMedDX may also be used to sign in to ARTcade, and changes to shared sign-in information may affect access to both services. This Policy covers ArtMedDX's handling of personal information. ARTcade and third-party websites linked from ArtMedDX may have separate privacy practices.

2. Information We Collect

Account and identity information

When you create or use an account, we may process:

• your Clerk user and session identifiers;
• username, display name, and primary email address;
• email verification status and sign-in method;
• account status, including active, suspended, or deleted status; and
• the policy versions you accepted or acknowledged and the time of acceptance.

Clerk and the identity provider you choose, such as Google, handle passwords, authentication credentials, and sign-in sessions. ArtMedDX does not receive your Google password.

Contributor application information

When you apply to contribute, we collect the information in the application, which may include your name, email address, experience, credentials, reasons for applying, submission time, and application reference information. Applications are delivered to the ArtMedDX review team through Google/Gmail.

Activity, preferences, and user content

When you use account features, we may process:

• content views and other activity events;
• likes, which the service may identify as favorites;
• saves, which the service may identify as bookmarks;
• exhibit drafts, selected writeups and images, exhibit text, cover images, visibility settings, ownership, and publication status;
• reports, moderation decisions, and related account history; and
• other content or preferences you choose to provide.

Technical information

Our hosting, authentication, and application infrastructure may process technical information needed to deliver and secure the service, including IP address, browser and device information, request timestamps, referring pages, session information, and security or error logs.

Communications

We collect the information you provide when you contact ArtMedDX, submit a privacy or support request, or report a security, content, or copyright issue.

3. Information You Should Not Submit

ArtMedDX presents educational material about medicine, health, illness, and the body, but it is not designed to collect patient records, medical histories, or other personal health information. Do not submit personal medical records, government identification numbers, financial account details, or other sensitive information through applications, exhibits, or support messages.

4. Sources of Information

We may receive personal information:

• directly from you;
• from Clerk and an identity provider you choose, such as Google;
• automatically from your device when you use ArtMedDX;
• from other users who interact with or report content; and
• from service providers acting for ArtMedDX.

5. How We Use Information

We use personal information to:

• create, authenticate, maintain, and secure accounts;
• provide writeups, database tools, exhibits, saved content, and activity features;
• remember preferences and content visibility settings;
• process contributor applications and communicate with applicants;
• respond to support, privacy, security, moderation, and copyright requests;
• prevent fraud, abuse, unauthorized access, and manipulation of engagement systems;
• diagnose errors and improve the reliability and accessibility of ArtMedDX;
• enforce the Terms of Use and protect users, contributors, rights holders, ArtMedDX, and the public; and
• comply with legal obligations and establish or defend legal claims.

ArtMedDX does not use personal information to provide medical diagnosis, treatment, or clinical services.

6. Cookies and Similar Technologies

ArtMedDX and Clerk use cookies or similar browser storage that are necessary for authentication, session continuity, security, account routing, and user preferences. Blocking these technologies may prevent sign-in or account features from working correctly.

ArtMedDX does not currently use personal information for targeted advertising and does not currently place nonessential advertising cookies. If ArtMedDX later introduces nonessential analytics, advertising, or similar tracking, we will update this Policy and provide any choices or consent required by law.

7. How We Disclose Information

We may disclose personal information to:

• Clerk and enabled identity providers for authentication and account management;
• hosting, infrastructure, database, storage, security, email, and backup providers, including Hostinger and Google/Gmail, as needed to operate the service;
• ArtMedDX administrators, reviewers, and contributors who need the information to perform their responsibilities;
• source platforms, museums, libraries, archives, or other third parties when a feature directs you to their independent services;
• authorities, rights holders, or other parties when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or respond to valid legal process; and
• a successor or participating organization in connection with a merger, reorganization, transfer, or similar change involving ArtMedDX, subject to applicable law.

Service providers may process information only as needed to provide their services or as otherwise permitted by their own applicable terms and law.

8. Public, Unlisted, and Private Content

Public exhibits, usernames, attribution, tags, and related content may be viewed, copied, indexed, quoted, or shared by other people and search engines. Unlisted content is available to people who obtain its link and should not be treated as confidential. Private settings restrict intended access but cannot guarantee absolute confidentiality or prevent a recipient from copying content.

Review an exhibit's visibility before publishing it. Do not include another person's personal information unless you have the right and a valid reason to do so.

9. Sale and Targeted Advertising

ArtMedDX does not sell personal information and does not use personal information for cross-context behavioral or targeted advertising. If these practices change, we will update this Policy and provide legally required notices and choices before the change takes effect.

10. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including operating accounts and features, reviewing applications, maintaining security and moderation records, documenting policy acceptance, resolving disputes, enforcing agreements, and meeting legal obligations.

Retention depends on the type of information and why it is needed. Account profiles and user content are generally retained while the account or content remains active. Some security, policy acceptance, deletion, moderation, and fraud-prevention records may be retained after account deletion when needed to protect the service or comply with law. Deleted information may remain for a limited time in backups before normal backup rotation removes it.

ArtMedDX will review and shorten retention where information is no longer needed. Public content copied or shared independently by other people may remain outside ArtMedDX's control.

11. Security

We use administrative, technical, and organizational measures designed to protect personal information. No system is completely secure, and ArtMedDX cannot guarantee absolute security. Protect your sign-in methods and contact us promptly if you suspect unauthorized access to your account.

12. Age Requirements

ArtMedDX account features are intended for people who are at least 18 years old. Do not create an account if you are under 18. Public educational content is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.

13. Your Choices and Rights

You may update available profile information through your account or Clerk. You may also contact us to request access to, correction of, or deletion of personal information associated with ArtMedDX. Depending on where you live, you may have additional rights, including rights to obtain a copy of your information, restrict or object to certain processing, withdraw consent where processing depends on consent, appeal a denied request, or complain to a privacy regulator.

We may need to verify your identity and authority before completing a request. Some requests may be limited where retention is required for security, legal, or other legitimate purposes. ArtMedDX will not discriminate against you for reasonably exercising a legally protected privacy right.

14. International Processing

ArtMedDX and its providers may process information in the United States and other countries where privacy laws may differ from those where you live. Providers are responsible for the transfer safeguards that apply to their services, and ArtMedDX will use additional safeguards where applicable law requires them.

15. Third-Party Services and Links

ArtMedDX links to artwork sources, archives, museums, videos, articles, and other websites that ArtMedDX does not control. This Policy does not govern those third parties. Review their privacy notices before providing information to them.

16. Changes to This Policy

We may update this Policy as ArtMedDX changes. We will post the new effective date and policy version and provide any additional notice required by law. If an update requires renewed acknowledgement, protected account features may be unavailable until you review the new version. Material changes may also be communicated by email or when you next sign in.
